Refund & Cancellation Policy
How cancellations, advance payments and refunds work for your booking with Baba Bhairav Travels.

1. Booking Cancellations
- Cancellations made more than 7 days before the travel date: full refund of the advance, less any non-refundable third-party charges already incurred (such as hotel or homestay advances).
- Cancellations made 3–7 days before the travel date: 50% of the advance payment is refundable.
- Cancellations made less than 72 hours before the travel date, or no-shows: the advance payment is non-refundable, as vehicles and drivers are already committed for your trip.
2. Advance Payment Policy
We typically collect an advance payment of 25–50% of the total package or trip cost at the time of booking, depending on the service. This secures your vehicle, driver and any hotel bookings involved. The balance is generally payable before or on the day of travel, as agreed at the time of booking.
3. Refund Eligibility
You are eligible for a refund if:
- You cancel within the timelines above, or
- We are unable to provide the confirmed service due to reasons within our control, or
- A duplicate or excess payment was made in error.
4. Non-Refundable Situations
- Last-minute cancellations or no-shows, as described in Section 1.
- Non-refundable hotel or homestay bookings already confirmed with third parties on your behalf.
- Partial trip usage — for example, cancelling midway through a multi-day tour.
- Payment gateway convenience fees, where applicable, are non-refundable.
5. Third-Party Supplier Policies
For hotel stays, boat rides or other third-party services included in your package, we are bound by the cancellation rules of those suppliers. Where a supplier does not permit a refund, we are unable to refund that portion of your payment, even if our own cancellation window would otherwise allow it.
6. Refund Timeline
Approved refunds are processed within 7–10 business days from the date of approval. This excludes any additional time your bank or payment gateway may take to reflect the amount in your account, which is outside our control.
7. Booking Modifications
Date changes, itinerary changes or changes to the number of travellers may be accommodated where possible, subject to vehicle, hotel and driver availability. Modifications made close to the travel date may involve additional charges, which will be communicated to you before confirmation.
8. Force Majeure
If a trip cannot proceed due to natural calamities, government restrictions, strikes or similar events beyond our control, we will offer a reschedule where possible. If rescheduling is not possible, refunds will be processed after deducting any non-refundable third-party costs already incurred.
9. How to Request a Refund or Cancellation
Contact us by phone, WhatsApp or email with your name, booking details and payment reference. We will confirm your cancellation and refund eligibility in writing.
